Define an eDiscovery Search for a Space

Defining an eDiscovery search for a space is a four-step process. You may have to refer to the links provided in some steps if you need more information. This topic describes the steps required to create a new eDiscovery search for a space.

To define an eDiscovery search for a space, you must:

  • Specify the eDiscovery search name and optionally, a description.
  • Select the space members to include in the search.
  • Set the search criteria for the space members included in the search.
  • Specify in-place hold settings for messages included in the search.

Complete the steps in the following procedure to define an eDiscovery search.

  1. On the eDiscovery page in the space Compliance module, on the Action bar, click Add New. The Define a new eDiscovery Search dialog is displayed.
  2. In the Name & Description section:
    1. In the eDiscovery Search Name field, enter up to 60 characters for the name of the search.
    2. Optionally, in eDiscovery Description field, enter up to 250 characters for the description of the search displayed on the eDiscovery page, and then click Next.
  3. In the Select Space Members section, to limit the search to specific space members, select specific space members to include in the search, optionally include past space members, and then click Next.
  4. In the Set Search Criteria section, specify the following fields:
    1. In the Choose source(s) of Space Messages including Posts, Comments, Alerts section, in the Created Date (Posted / Sent) field, select or enter a start date and end date in the Start and End fields.
    2. In the Choose context of Space Messages section, to add rooms anddirect messages to the search, you can:
        1. Select Rooms, and then select one or more rooms that you want to include in the search or Select All.
        2. Select Direct Messages, and then:
          1. In the Received From field, enter space member names or email IDs separated by a comma.

          Click the  icon to open the Add User(s) dialog to search for and select space members, and then click Done.

          1. In the Sent To field, enter space members names or email IDs separated by a comma.

               - or -  

      Click the  icon to open the Add User(s) dialog to search for and select space members, and then click Done.

    3. In the Choose from these additional criteria section, select one or more Message Content types, and then enter or select the additional criteria for message search from the following criteria:
      1. Text in Posts and/or Comments - To search for messages, select and then enter one or more keywords that must be contained in the message content. Only messages with any of the keywords specified are returned in search results.
      2. Video - Select to search for messages that contain video attachments.
      3. Audio - Select to search for messages that contain audio attachments.
      4. Photo - Select to search for messages that contain image attachments.
      5. Attachments - Select to search for messages with file attachments.
      6. Policies - Select to search for messages with message control policies.
  5. Click Next.
  6. In the In-Place Hold Settings section, you can:
    1. Clear Enable In-Place Hold to create an eDiscovery search to use as a query to show message results based on the users and search criteria specified, and then click Next.

         - or -  

    1. Select Enable In-Place Hold to, and then select Hold Indefinitely or specify the Hold for this time period field to specify the length of the litigation hold for the messages in the search result, and then click Next.

    Note: In-place hold is not available if all user accounts are selected in the Select User Accounts section.

  7. Click Save eDiscovery. The New eDiscovery search created successfully message is displayed at the top of the page.

The eDiscovery search is saved and available to run for your space.
