Create a Custom Retention Policy

When you enable message retention, the default retention period for all users, groups, and spaces is set to 365 days. You can modify the default retention period for all users, if desired. For more information, see Modify the Default Retention Period. However, if you want granular control of message retention, for example, specify users, spaces, or rooms, you need to create a custom retention policy. This topic describes how to create a new custom retention policy.

Before you can create a custom retention policy, you must first enable retention. For more information, see Enable Kore Message Retention.

  1. In the Custom Retention Policies section on the Retention page in the Compliance module of the Enterprise Admin Console, click Add New. The Define a Custom Retention Policy dialog is displayed.
  2. In the Name & Description section:
    1. In the Policy Name field, enter a name for your custom retention policy.
    2. Optionally, in the Policy Description field, enter a description for your custom retention policy.
    3. In the Retention Time Period field, select one of the following values.
      1. Retain Forever - All messages are retained forever.
      2. Retain for this time period - All messages are retained for a time period that you define. The default message retention period is 365 days. Enter a message retention period in days in the Enter a Retention Time Period in Days field, up to a maximum value of 36,500.

        A new retention time period is only applied to new messages that do not have an existing custom message retention policy applied. Messages with retention periods already applied are retained until the original message retention period has elapsed.

    4. Click Next.
  1. In the Set Retention Criteria section, on the Messages tab, specify which messages should be retained by selecting:
    1. Include messages from / to people - To retain messages sent to or from users, select one of the following:
      1. Standard settings - Messages from all users sent or received are retained.
      2. Advanced settings - Select messages for specific Senders and/or Recipients are retained. Click the Add  icon to open the Select who is sending/receiving the message dialog. Select the users that you want to retain messages for, and then click Done. For more information, see Selecting Users.
    2. Include messages from Bots - To retain Bot messages, select one of the following:
      1. Standard settings - Bot posts from all Bots are retained.
      2. Advanced settings - Select specific Bots to retain posts from. Click the Add  icon to open the Select Bots dialog. Select the Bots that you want to retain posts for, and then click Done.
  1. In the Set Retention Criteria section, on the Additional Criteria tab, you can filter the messages retained specified on the Messages tab based on the following criteria:
    1. Attachments (for example, Images, Videos, Files) - Select to include or exclude messages and/or posts with or without attachments. Otherwise, all messages and posts with attachments are retained.
    2. Message control policies - Select to include or exclude messages with or without message control policies. Otherwise, all messages and posts with message control policies are retained.
    3. Date Range - Select to include messages only during specified date range. Otherwise, all messages and posts for any date are retained.
    4. Keywords - Select to include only messages or posts that contain any of the specified keywords. Otherwise, all messages and posts are retained.
  2. Click Next.
  3. In the Confirm & Apply section, review and select the Kore conditions to create the custom message retention policy, and then click Save Policy.

The new custom retention policy is applied to the messages filtered according to your search criteria.
